How I look after your information

I'm Joseph Rossi, trading as Rossi35 — a film photographer based in the Surrey Hills. This page explains what personal information I collect when you get in touch or book a shoot, what I do with it, and what you can ask me to do about it.

What I collect

When you enquire — your name, email address, phone number if you message me on WhatsApp, and whatever you tell me about the shoot you're after.
When you book — the same, plus the date and location of the shoot and any details you share to help me plan it.
Photographs of you — the negatives and scans from your shoot. Photographs of identifiable people count as personal information, so they're covered by this notice too.
Website visits — basic, anonymous statistics about which pages get looked at. I use Ahrefs Web Analytics, which doesn't use cookies and doesn't identify individual visitors. There's no tracking of you across other websites.

Why I collect it, and on what basis

To reply to you and run the shoot — I can't quote for a job or turn up at the right place without your details. The legal basis is performing a contract with you, or taking steps at your request before one.
To keep proper records — invoices and accounts, which I'm legally required to hold on to.
To show work in my portfolio — I only put photographs of identifiable people on this website, on social media or in print if you've given me permission. That permission is entirely optional, it's never a condition of booking, and you can withdraw it at any time by emailing me. Where children are photographed, I ask a parent or guardian.

Who else sees it

I don't sell your information to anyone, ever, and I don't send marketing emails. A small number of services handle information on my behalf in the ordinary course of running the business:

My film lab — develops and scans the negatives.
Email and messaging — my email provider, and WhatsApp if that's how you contact me.
File delivery — your finished images are delivered digitally.
This website — hosted by Cloudflare, with anonymous statistics from Ahrefs.

How long I keep things

Enquiries that don't become bookings — twelve months, then deleted.
Negatives and scans — kept indefinitely as an archive, unless you ask me to delete them.
Invoices and accounts — six years, as HMRC requires.

Your rights

Under UK data protection law you can ask me to show you what information I hold about you, correct anything that's wrong, delete it, or stop using it in a particular way. You can also withdraw permission for me to use your photographs in my portfolio at any time — I'll take them down.

Just email joseph@rossi35.co.uk and I'll sort it, normally within a month. One caveat worth being straight about: images already printed, published in a magazine, or shared by someone else can't always be pulled back — I'll do what I reasonably can.

If you're unhappy

Tell me first and I'll try to put it right. If that doesn't work, you can complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.
